Given that I teach children, it’s vital that some personal information is held on file. When registering for Elastic, the following information is requested:

• Name and DOB

• Emergency contact number and additional contact

• Address

• Email address

• Allergies / medication, and whether or not I can carry out first aid in the event of an emergency

• Whether or not you are happy for your child to be filmed / photographed

The above information is held on Jotform an account that requires a username and password to access, which I change regularly. It is also copied onto my registers, so I have important emergency contact information to hand. When not in use, registers are kept in a locked filing cabinet. I generally use email addresses to correspond with customers. On the rare occasion I will phone or text, if I need to cancel a class for instance. Your address will only ever be used for the posting of certificates/ awards.

The only body I share information with is the ISTD – the syllabi we follow at Elastic and therefore the examining body we use. They require the student’s name and DOB in order to sit examinations.  Medical details will only be shared with the ISTD if I apply for ‘Reasonable Adjustments’ due to a special educational need, for example. You will have agreed to this and provided me with details of the condition, in order for the ISTD to adjust the exam and therefore will have been made aware of the sharing of this information.

Regarding filming / photography, I will always ask via email if anyone has any objections to filming prior to ‘open days.’ If all in agreement, any footage must not be shared on social media, YouTube or any other public channel. It is strictly for your own personal use. I will never photograph or film your children without obtaining your consent, through the registration form.

When Elastic grows to stage shows, it will be necessary to share medical information and emergency contact phone numbers with those (chaperones / teachers) responsible for looking after your child and the local authority. Currently, beyond other teachers and the ISTD, your details will not be shared with any other organisation or individual. In the future, only the local authority, chaperones and teachers will be given emergency contacts and medical details, to ensure the safety of your child.
